Before using the Gift/Hospitality Module, you will first need to set the module up.
Navigate to Account Settings from the system Home Page.
Note: Only users with Master User permissions can access the Account Settings.
Click Module Setup and then Gift/Hospitality Register Setup.
To enable your users to select the type of Gift/Hospitality they are giving or receiving, you need to create Gift/Hospitality Types in the module.
To add a Gift/Hospitality Type, click +Add.
Type a Name, a brief Description and select the Type (Gift or Hospitality).
It will now be added to the list and will be available for selection when entering a new Gift or Hospitality record.
Next, you will need to create your External Entity Types, which indicate what types of person or organisation you can give to/receive from. To create a new type, click +Add.
Enter the Name and Description and click Save.
Your External Entity Type will then appear in the list and become available for selection when entering a new record.
Finally, you need to complete the Gift/Hospitality Field Setup by selecting Yes or No for each of the statements.
If User Groups have been added to the system (to reflect your internal business structure e.g Divisions/Departments), you can ensure the level of visibility for each record is appropriate.
This setting allows you to limit which Groups are available to the user when creating a new record.
If allowing All Groups to be visible, every group in the system will be displayed to the user.
Note: A User could potentially lose sight of the record after saving it if they are not a member of the group which they have selected.
However, if you allow Only Groups I’m In it will display the groups the user creating the record is a member of.
If your policy allows gifts or hospitality to be given/received up to a certain value without prior approval, you can also set up thresholds for automatic approval or referral, for more information see Create Limits for approving Gift/Hospitality
